Description & Requirements

Maritime Coastguard Agency 


On behalf of MCA, we are looking for an Estates Administration Support (Inside IR35) for a 6 Month contract based in Southampton (3 days per week on site).


As a Estates Administration Support, your main responsibilities will be:

  • Maintain complete, accurate, and up-to-date records for all property titles, plans, leases, licences, and estate data, ensuring robust processes for access, updates, reconciliation, and information control.
  • Prepare and support the delivery of reports, data returns, and responses required by Central Government, governance boards, auditors, FOI requests, and regulatory or compliance bodies.
  • Coordinate with property consultants to prepare information packs, prospectuses, and data rooms to support property acquisitions, disposals, auctions, and tender processes.
  • Manage budgets related to rentals, licences, and professional services; administer contracts and agreements; raise POs/RTPs, process invoices, resolve payment queries, and provide regular financial reporting and forecasts.
  • Support oversight of professional services contractors by coordinating reviews, meetings, minutes, and actions to ensure agreed priorities, performance standards, timescales, and budgets are met.
  • Provide comprehensive secretariat support to the Estates Department, including meeting coordination, minute-taking, action tracking, audit responses, health & safety matters, and supporting procurement of consultant and contractor services.


Essential:

  • Excellent administrative, secretarial, and organisational skills
  • Experience working in a fast paced, administration role
  • Able to multi-task and work at pace
