Job Title: Customer Engagement Coordinator


Location: Aberdeen - Hybrid


Reporting to: Head of Customer Engagement Manager

About the Role:

GBE Local exists to make local energy work to deliver real value and lasting benefit for communities and places across the country. The voice and needs of those communities aren't an input to our work: they are the foundation of it. We are recruiting a small team of Customer Engagement Coordinators, who will be responsible for organising, running and capturing the day-to-day engagement activity that keeps GBE Local connected to the people it's meant to serve.

You will work closely with the Customer Engagement Manager and the wider engagement team to deliver events, sessions and outreach across a wide landscape: community energy groups, local authorities, charities, businesses, developers, innovators, citizens and energy system leaders. You will handle the logistics that make engagement possible, capture what is said and heard with rigour, and turn raw material — notes, recordings, survey responses, user experience feedback — into insight the team can use. You will make sure the practical experience of taking part in GBE Local's engagement is welcoming, accessible and well-run for everyone involved.



Key Responsibilities:

Delivery of engagement activities

  • Organise and run engagement events, workshops, surveys and sessions, managing invitations, venues, materials and attendee lists from planning through to delivery.
  • Facilitate engagement sessions and workshops, keeping discussions on track, encouraging balanced participation and ensuring sessions run smoothly on the day.
  • Act as a key point of contact for participants before, during and after engagement activities, ensuring a positive and accessible experience for all attendees.
  • Coordinate logistics with suppliers, venues and internal teams, keeping engagement programmes on schedule and within budget.
  • Support the Customer Engagement Manager in adapting delivery plans to reach underrepresented or harder-to-reach groups.

Capturing and organising insight

  • Capture qualitative and quantitative data accurately during engagement activities, including notes, recordings, survey results and feedback forms.
  • Organise and maintain engagement records and insight logs in a consistent, accessible format, ensuring findings can be easily retrieved and analysed.
  • Carry out first-pass analysis of engagement material, identifying key themes, insights and messages.
  • Own and maintain GBE Local's stakeholder mapping, keeping records of who has been engaged, their interests and their level of influence up to date and accurate.
  • Manage engagement tracking against plans and targets, maintaining a clear, current picture of who has been reached, how and when, and surfacing gaps in coverage to the Customer Engagement Manager.

Support for the wider team

  • Provide administrative and coordination support for co-creation and user-experience sessions run in partnership with other GBE Local teams.
  • Help maintain stakeholder contact lists and engagement calendars, ensuring information is current and shared appropriately across the team.
  • Work with Communications and Policy colleagues to prepare accessible materials and communications for engagement activities.


Qualifications and Experience:


Essential:

  • Experience organising or coordinating events, workshops or engagement activities involving multiple attendees or stakeholder groups.
  • Experience facilitating meetings, workshops or group discussions, with confidence keeping a session on track and participation balanced.
  • Strong organisational skills, with the ability to manage several activities and deadlines at once.
  • Confident written and verbal communication skills, with experience producing clear notes, summaries or reports from meetings or events.
  • Comfortable using surveys, spreadsheets or basic data tools to record and organise information, including maintaining stakeholder maps or contact databases.
  • A collaborative, can-do approach, with good judgement about when to resolve something directly and when to escalate.
  • An interest in energy, community development or public sector delivery.


Desirable:

  • Experience using engagement or survey platforms (for example Microsoft Forms, SurveyMonkey, Mentimeter or similar).
  • Understanding of basic qualitative analysis or coding of themes from written or spoken material.
  • Experience working with local authorities, community groups or the voluntary sector.
  • Familiarity with accessibility considerations in event and communications design.
