On behalf of Homes England, we are looking for a L&OD Assistant Inside IR35 contract based Until 31st of March 2025 Hybrid - 3 days in Newcastle.

Although some general L&OD Assistant responsibilities within the wider team will be required as outlined below the main focus of this role is to support a project working with a smaller team to redesign and launch through our Totara LMS a new approach to the organisation’s compliance learning. The provision is extensive and new content has been purchased, you will be working with subject matter experts to ensure the offer is relevant, engaging, uses a ‘test first’ approach and works effectively through our LMS.
As a L&OD Assistant, your main responsibilities will be:
- To liaise directly with customers to take ownership of queries, providing first line L&OD advice and guidance to the business on a range of issues, aiming for a ‘right first-time response’ within agreed SLAs.
- To use initiative to investigate and resolve more complex or unique queries and escalate as appropriate.
- To support and influence customers to using the correct tools to enable them to carry out their roles.
- To tailor communication style and method relevant to different levels of customers within the organisation.
- To monitor and analyse queries to enable and drive continuous improvements to processes, policies and procedures.
- To deliver customer centric and efficient L&OD services by administering established processes to agreed time and quality measures.
- Provide escalation support to colleagues in the People Services Team who also manage some L&OD queries via the Service Desk and respond to phone queries.
- Work with a range of external partners and suppliers to support the co-ordination and successful delivery of L&OD work, including core offer, leadership, management, and early careers initiatives.
- Co-ordinate logistical arrangements for L&OD events and programmes, including producing materials, booking dates with external providers, ensuring rooms are secured where required, schedule, add colleagues and record attendance.
- Deliver meeting administrative support to the L&OD Team including scheduling meeting dates, agenda planning, collating papers, minute taking and collating and co-ordinating actions from meetings and discussions.
- Contribute to the production of reports and briefing papers by collating data and information, analysing information and presenting work ensuring that it is in line with corporate requirements.
- To build positive relationships with all external third-party suppliers to ensure that any issues and queries are dealt with efficiently and effectively.
- Provide commissioning support to the team, including procurement and legal processes, payment of invoices and responding to finance queries on behalf of the team.
- Work with team members and other colleagues to identify and implement creative digital solutions for enhancing the presence of L&OD work on communication channels, including the Intranet, Viva Engage and Microsoft Teams in order to increase the interest and active participation for colleagues to own and drive their development.
- Support the design and evaluation of learning and organisational development interventions, including designing feedback, collating and analysing feedback and working with L&OD colleagues to use findings to support continuous improvement of L&OD work.
- Ongoing maintenance and continuous improvement of the Learning Management System.
- To have a broad understanding of the other HR teams and functions, assisting with their workloads and projects as required.
- To ensure that colleagues and managers receive a high level of customer service.
- To actively identify, propose and deliver efficiency and/or output improvements to L&OD services activities.
- Homes England Employees are expected to be flexible in undertaking duties and responsibilities commensurate with the general character of the role and level of responsibility.
Essential:
- Previous experience working with Totara - LMS administration
- E- learning - ability to edit and create online learning
- Minimum of five GSCEs or equivalent (A to C grades) or business-related BTEC HND or a recognised qualification in L&OD/administration/secretarial skills e.g. CIPD level 3 Foundation Certificate in People Practice
- CIPD associate membership or equivalent
- Intermediate level Microsoft Office capability - Outlook, Word, Excel, PowerPoint and Teams
- Advanced level - PowerPoint
- Demonstrable experience in providing a pro-active client-focused and flexible service to a range of colleagues and stakeholders in order to support learning in an organisation.
- Demonstrable experience of being a strong team player providing support to team members.
- Experience of success in using digital solutions to support learning and organisational development events and programmes.
- Excellent organisational skills with the ability to organise own work and manage a range of competing priories to ensure that highly quality work is delivered on me and in line with organisational requirements.
- Excellent accuracy skills, including strong attention to detail.
- Well developed ability to establish and manage a range of relationships in order to achieve successful outcomes.
- Effective communication skills, both written and verbal, including drafting emails and briefing notes and communicating with a range of colleagues and stakeholders.
- Customer service focused approach.
- Generalist L&OD experience gained from working within an L&OD environment.
- Ability to prioritise tasks, manage workloads and anticipate any action needed.
