On behalf of Network Rail, we are looking for a Secretariat Business Coordinator (PA) for a 6 month contract on a hybrid basis with 3 days per week in London, Waterloo

As a Secretariat Business Coordinator (PA) your main responsibilities will be:
- Support the Deputy Company Secretary with diary management, including for projects such as the Annual Report and Accounts, supporting in creation of agendas and minuting of team and project meetings.
- Support agenda preparation for two key committees
- Identify and deliver transformation initiatives (including tenders and the Governance & Secretariat Forward Planner) that enable the Governance & Secretariat Team to work more effectively and to improve service levels to the business and enable the Boards and Committees to make informed and timely strategic decisions.
- Identify and manage risks associated with transformation initiatives and lead on implementing actions to eliminate or mitigate those risks.
- Support on delivering the assurance framework underlying the Corporate Timetable and Governance and Secretariat Manual to comply with best practice Governance.
- Develop and maintain productive working relationships with external suppliers, agencies and stakeholders so that service level agreements and KPIs are met and our accounts with suppliers are managed effectively.
- Maintain systems for capturing and reporting the Governance & Secretariat Team’s performance against KPIs and project milestones, analysing and interpreting emerging trends and identifying remedial actions where necessary, to enable progress to be monitored and highlight areas of concern.
- Lead and manage the business operations for the Governance & Secretariat Team to facilitate effective and timely compliance with Network Rail policies and procedures.
- Design and manage protocols for handling information storage, retention and retrieval so that requests from Government, DfT and other high-profile stakeholders, including Transparency and Freedom of Information requests, are answered effectively and efficiently.
Essential:
- Experience of minute taking
- Experience in diary management
- Experience of compiling agendas and actions
- Exceptional Team Organisation nd coordination skills and experience
- Experience of organising meetings
- IT literate and proficient in Microsoft Office
- Experience of providing management support
- Experience in successfully leading and managing projects from inception to delivery.
- Proven experience of effectively managing multiple internal and external stakeholder relationships.
- Proven successful experience in analysing and interpreting data, identifying trends and understanding the implications of those trends.
- Works well under pressure, successfully prioritising and handling competing demands.
- Self-motivated with excellent time management skills.
- Proven customer focussed approach.
- Excellent oral and written communication skills, with an ability to communicate complex information in a clear and simple way
Desirable:
- Possess a degree or equivalent (eg, HND or NVQ level 5).
- An understanding of corporate governance regulations and assurance processes.
- An understandings of NR’s corporate structure and processes
